Carrier Pulse, LLC ("we," "our," or "us") operates the carrierpulse.com website, the Carrier Pulse Digital Permits web application, and the Carrier Pulse mobile application (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
This policy applies across all Carrier Pulse products: our website, our web-based application, and our mobile app.
We currently operate exclusively in the United States and this policy is written accordingly. If we expand to serve customers outside the US in the future, we will update this policy to reflect any additional requirements that apply.
Information we collect
Information you provide directly
On our website:
- Name, email address, company name, and phone number when you submit a contact form or request a demo
- Any additional information you choose to include in a message to us
In the app (web and mobile):
- Name, email address, and phone number
- Login credentials (email and password)
- Driver's license number and state of issuance
- Commercial vehicle information (unit numbers, VIN, license plates)
- Compliance documents you upload, including but not limited to commercial driver's licenses, medical certificates, vehicle registrations, and inspection records
Information from your employer
If you are a driver using Carrier Pulse, your employer (the trucking carrier) may upload documents and information about you, including compliance documents required for DOT operation.
Information collected automatically
- Log data, including IP address, browser or device type, and pages or screens visited
- Session information used to keep you logged in
- QR code scan events, including timestamp and general access information, for audit trail purposes
- Cookies necessary to operate the website and app, such as keeping you logged in, as well as cookies used by Google Analytics to distinguish visitors and understand usage patterns. We do not use cookies for advertising or third-party marketing purposes. If this changes, we will update this section and, where required, ask for your consent first.
Location information
The app does not currently collect GPS or precise device location data. If we add location-based features in the future (for example, associating a QR scan with a general location for audit purposes), we will update this policy before that feature is enabled and will make clear what is collected and why.
How we use your information
We use collected information to:
- Provide, operate, and maintain the Service
- Respond to demo requests and inquiries submitted through our website
- Track compliance document status and send expiry alerts
- Enable QR code-based document verification for roadside inspections
- Authenticate users and maintain account security
- Respond to support requests
- Improve and develop the Service
- Send you service-related emails, such as password resets and document expiry notifications
We do not use your information for advertising, and we do not sell your personal information.
Analytics
We use Google Analytics on our website and app to understand how visitors and users interact with the Service, such as which pages or screens are viewed, how long visits last, and general usage patterns. Google Analytics collects information like your IP address, browser type, device type, and pages visited.
Google may process this information according to its own privacy policy. You can learn more about how Google uses data at policies.google.com/technologies/partner-sites, and you can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
We use this information in aggregate to improve the Service and do not use it to individually identify or advertise to you.
How we share your information
We do not sell your personal information. We share information only in the following circumstances:
- With your employer: If you are a driver, your compliance documents and status are visible to your employer's designated safety and compliance staff.
- With DOT inspectors and authorized third parties: When a QR code is scanned at roadside, the associated compliance documents become viewable to the person scanning the code, for the purpose of verifying compliance during an inspection.
- Service providers: We use third-party infrastructure and service providers — including Amazon Web Services for hosting and storage, and email delivery providers for transactional emails — to operate the Service. These providers are contractually obligated to protect your data and use it only to provide services to us.
- Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
- Business transfers: If Carrier Pulse is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have.
Data storage and security
Your data is stored on secure cloud infrastructure with encryption in transit. Documents are stored in access-controlled cloud storage and are not publicly accessible without proper authentication or a valid QR access token.
We implement reasonable administrative, technical, and physical safeguards designed to protect your information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Data retention
We retain your information for as long as your account is active or as needed to provide the Service. Compliance documents may be retained for the period required by applicable Department of Transportation regulations, even after account deactivation, to support audit and compliance requirements.
Contact form submissions from our website are retained as long as reasonably necessary to respond to your inquiry and for our business records.
Your rights and choices
Depending on your state of residence, you may have rights under state privacy laws (such as the California Consumer Privacy Act) to:
- Know what personal information we have collected about you
- Access a copy of that information
- Request correction of inaccurate information
- Request deletion of your information, subject to legal and regulatory retention requirements (for example, DOT-required compliance records)
- Opt out of the sale or sharing of personal information — note that we do not sell personal information

Children's privacy
Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. Commercial vehicle operation requires drivers to be of legal working age under applicable law.

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the "Last updated" date at the top of this page. Continued use of the Service after changes constitutes acceptance of the updated policy.
